Make the instrument location part of the request

Bartica is in Region 7, where gold and diamond mining, logging and agriculture are documented activities. A workshop supporting these activities may manage instruments that move between a town base and an operating site. The place where purchasing is handled may not be where calibration is needed.

Identify the present location of every item and the proposed work location. If instruments are expected to return to a workshop, explain when they will be available. Avoid treating a regional address as a complete access plan.

Match the scope to workshop decisions

A maintenance team may use a pressure gauge to assess a reading, a torque wrench for controlled tightening or a micrometer to inspect a component. Specify the working points, directions or dimensions that matter to the task. Provide the acceptance limits used by your procedure where available.

For electrical instruments, identify functions and ranges used in troubleshooting. The list should distinguish the measuring tool from the machine it helps maintain. Calibrating a tool does not certify the entire machine or establish that a mining process is safe.

Report condition before arranging the visit

Instruments that travel with field equipment should be checked for readable identification, damaged cases, contaminated connections and impact history. Note faults or intermittent readings rather than assuming they will disappear during calibration. Tell us about any repair or adjustment since the previous certificate.

For pressure instruments, state the operating medium and any residue or contamination concern. Discuss preparation and safe handling in advance. Send photographs of identification plates if they help clarify the model, while keeping the instrument list as the main reference for the quotation.

Agree a workable service location

Describe site access, safe isolation, workspace, electrical supply and conditions that could affect the measurement. A workshop assessment and a visit to an interior site can involve different preparations. The proposed arrangements need to be reviewed for the specific instrument group.

Agree who makes instruments available and who controls their movement before and after the work. Confirm responsibilities before planning any cross-border shipment or movement of equipment. Request your quotation on WhatsApp; location and access details are essential to an informed proposal.

Keep records tied to the individual tool

Use serial numbers and asset tags to distinguish similar instruments, especially when tools change hands between crews. Check that each certificate matches the correct item and includes the agreed points, results and uncertainty information. Identify who decides whether a tool can return to use.

Raise customer requirements for accreditation or particular documentation at the enquiry stage. If an instrument is used for a regulated commercial measurement, verify the relevant GNBS requirement separately. Calibration results do not automatically replace legal verification or a customer’s approval process.
